Choose a single date for your Alert Labs invoices

Alert Labs now offers customers a universal billing date which consolidates multiple subscriptions into a single invoice with one common billing date.

The AlertAQ™ platform and Alert Labs products have subscriptions that renew every year on the anniversary of the purchase date. Customers with multiple subscriptions currently have many renewal dates throughout the year.

By choosing a single renewal date, you can simplify your billing and accounting processes, and make it easier to manage your subscriptions.

How do I sign up for the universal billing date?

If you are an authorized billing contact for your account, please click on the button below and fill out the form. Select the date that works best for you, and provide a few account details, including your 4-digit Customer ID. We’ll take care of the rest.

If you miss the deadline shown on the form, don't worry. You'll get another chance later on. Just check the link.

What's my Customer ID?

  • Your customer ID is a 4-digit number that will have been provided to you by email. Please check your inbox for an email from invoices@alertlabs.com.

  • If you do not know your Customer ID and do not have an email, please provide your company name instead.

When is my current renewal date?

  • You can find your current renewal date on your most recent Alert Labs invoice, or on the AlertAQ™ Subscriptions page if you have a Billing access role.

Who can request a billing date alignment?

  • Only authorized billing contacts for the account can request a common billing date. If the person on record needs to be updated, please reach out to invoices@alertlabs.com.

I missed the deadline, can I still renew?

  • Yes, we will continue to offer periodic alignment opportunities.

  • The current deadline is July 25, 2025.

  • If you miss this deadline, the next alignment opportunity will be in early 2026.

  • We will keep the form open. Please still record your request in the form linked above in the meantime.

What happens after I choose a new renewal date?

  • In August 2025, your existing subscriptions will be canceled and you’ll receive a credit for any unused portion. We'll send you a single invoice for your subscription from August until your new renewal date.

    • If your new renewal date is BEFORE your previous date (e.g., October 1 instead of December 1): You’ll have a credit and won’t owe anything until your new renewal date arrives. Any remaining credit will be applied to your next invoice.

    • If your new renewal date is AFTER your previous date (e.g., February 1 instead of December 1): You’ll only pay for the extra time added to your subscription, with your credit automatically applied.

Can I still see individual subscription details on my consolidated invoice?

  • Yes, your consolidated invoice will still itemize each subscription with its specific details, including product type, location, service period, and individual costs.

  • The consolidation affects only when and how you're billed, not the level of detail provided.

What if I add new subscriptions after setting up my universal billing date?

  • New subscriptions added after establishing your universal billing date will be automatically aligned with your chosen billing cycle. During the initial setup of a new subscription, it will be pro-rated to match your existing billing date, ensuring all subscriptions remain synchronized.

Will consolidating my subscriptions into one invoice change my subscription terms or pricing?

  • No, this change only affects how and when you are billed. Your subscription terms, pricing, and service features will remain the same. This is strictly an administrative change to simplify billing management.

What if I manage subscriptions for multiple locations or departments that need separate billing?

  • If you need to maintain separate invoices for different locations or departments, contact Alert Labs at invoices@alertlabs.com. They can help you organize your subscriptions into logical groups, each with its own consolidated invoice and universal billing date.

Can I combine my sensors into a single subscription?

  • Not yet. We still need to bill each subscription separately, but now they'll all renew on the date of your choice. We may offer more consolidation options in the future.

What if I don't take action?

  • If you don't choose a new renewal date, your current subscription billing dates will remain unchanged.
